OpenSky is a European challenger brand to the large global software consultancies, delivering innovation across Government, Transport and Environment sectors in the UK and Ireland. We operate in Poland since 2009, working from two offices, in Katowice and Poznan and our headquarter is located in Naas, Ireland.

We are now searching for an experienced HR Specialist / Office Manager to join our team in Katowice on a part-time basis – 25 hours per week over 5 days. The successful candidate will manage our two offices in Poland (Katowice and Poznan) and will be responsible for all HR-related processes in the Polish branch.

The Job

As an HR Specialist / Office Manager your daily tasks will include:

  • HR Administration
  • being a contact point for all HR matters, along with HR Manager
  • coordination, support and active participation in recruitment processes and connected matters
  • coordination and execution of the hiring and dismissal processes (employee on-/offboarding)
  • providing periodical or ad hoc HR reports/statistics
  • employee engagement & retention initiatives for the Katowice and Poznan office in conjunction with HR Manager
  • maintaining positive work experience for employees and managing employmentrelated matters in accordance with procedures
  • maintaining employee information on HR systems, personnel files and the intranet and managing the department’s electronic filing, shredding & archiving to ensure
  • compliance with data protection & other policies

Office Management

  • acting as Opensky’s representative in relations with key public and private partners in Poland
  • effective management of operating expenses within the established budget, reviewing opportunities for reducing expenses
  • work in close partnership with the Operations Manager to ensure adoption of operations, infrastructure, and risk management policies and procedures
  • administrative support to the Practice Lead and the team, day to day cooperation and response to daily needs of the local offices in Poland
  • support to the accountancy in the scope of monthly billing and payroll
  • coordination of finance/budget planning and reporting
  • coordination of services provided by external suppliers such as administrators of hired offices, recruitment agencies, etc.
  • coordination of current office matters such as health & safety, shopping, equipment, correspondence, etc.
  • coordination of business trips for the employees
  • organization of internal and external events like labor fairs, Christmas parties, team building activities, etc.

Essential Skills

  • Willingness to work part time – 25 hours a week
  • 2 years of experience in HR and recruitment
  • Good knowledge of HR processes and Polish labor law
  • Experience in office management/administration
  • Advanced English – both spoken and written
  • Practical knowledge of MS Office
  • Ability to draft official documents and reports
  • Excellent communication skills
  • Excellent time management skills and ability to prioritize and switch between multiple tasks
  • Friendly and pro-active approach, adaptability and a ‘can do’ attitude
  • Readiness to travel occasionally between the two offices

Nice to have

  • A degree in Human Resources Management
  • Previous experience in an IT company
  • Basic knowledge in accounting
